Duties & Responsibilities

32BJ represents 6,000 members in the Bronx, Westchester County and the Hudson Valley, and 8,000 members in the Schools, Window Cleaners, Exterminators and Stadiums Divisions, under the direction of a union Executive Vice President (EVP). The Bilingual Office Manager provides administrative support for all union activity assigned by the EVP, to whom they report.

Responsibilities include but are not limited to:

  • Manage office reception area office and monitor member/guest flow;
  • Manage meeting spaces to ensure compliance with COVID guidelines, including space for member group meetings, grievance hearings, arbitration meetings and case-related depositions;
  • Provide logistical and staff support for rallies, member meetings and trainings, events and conferences as needed. This includes booking space, negotiating with caterers, bus companies and other vendors as needed;
  • Provide administrative support for the union’s grievance work and processes;
  • Serve as liaison with operations/finance/administrative/IT/data departments based in our headquarters office in Manhattan to ensure systems and protocols in the local office are consistent with the rest of the organization;
  • Other administrative support including processing invoices, mass mailings, ordering supplies, etc.

Qualifications & Experience

The ideal candidate will be experienced in dealing with a diverse public in a friendly and compassionate manner. They will be self-starting, and able to maintain a professional demeanor in a fast-paced and demanding environment. While no one candidate will possess every quality outlined for this position, the successful candidate will bring many of the following professional skills and personal attributes:

  • Experience handling administrative functions in a fast-paced office;
  • Proficiency in MS Office, including Word, Excel, Outlook and Power Point. Ability and interest in learning internal data and workflow systems required including CRM and our membership database;
  • Strong customer service skills, including experience working with people of diverse backgrounds;
  • Excellent verbal and written communications skills including effective business writing;
  • Ability to handle confidential material and information in a professional manner;
  • Ability to plan work, prioritize and meet deadlines;
  • Motivated self-starter who also enjoys being part of a team;
  • Bilingual Spanish/English required.
  • Commitment and enthusiasm for social justice and labor issues not required but a plus.

Work Environment

  • This position is a full time position that occasionally requires hours outside normal business hours, including some nights and weekends.
  • This position is based in the White Plains, NY office.
  • This position requires occasional travel to Manhattan headquarters for training and events.

Physical Demands

  • This position is largely computer/office based, with many in-person and Zoom meetings.
  • This position requires traveling to and participating in events, member meetings, marches and demonstrations.

Compensation & Benefits

The salary for this role is $45,505 to $51,861, depending on experience. 32BJ offers a generous benefits package that includes a fully employer-paid medical, dental and vision plan (for full-time employees and their qualified dependents) and retirement benefits, including a defined benefit pension plan and 401K. 32BJ offers paid time off including three weeks’ vacation, eleven holidays, twelve sick days, and, after the first year of service, four personal days.
