Duties & Responsibilities

The Administrative Assistant for New York Metro District will be responsible for greeting members and visitors, directing members to the appropriate person or office, and providing administrative support to the District. They will report directly to the Operations Coordinator.

Responsibilities include, but are not limited to, the following:

  • Manage member traffic to the reception through our queuing system;
  • Perform data entry assignments as needed to complete member activity reports and to support the Union’s work;
  • Ensure reception area is tidy, functioning and presentable. Interface with office services, the IT Department and facilities management for any facility-related issues in the reception area, pantry and meeting rooms, including laptops and printers, climate control, cleaning needs, etc.;
  • Manage calendar reservations for seven (7) conference rooms in Outlook;
  • Help support the security operation of the District Office by following procedures and interfacing with building security, as necessary; and
  • Support member phone banking operations;
  • Other administrative duties as assigned to support the union’s program and goals.

Qualifications & Experience

The ideal candidate will be experienced in dealing with a diverse public in a friendly and compassionate manner. They will be self-starting, and able to maintain a professional demeanor in a fast-paced and demanding environment. While no one candidate will possess every quality outlined for this position, the successful candidate will bring many of the following professional skills and personal attributes:

  • Strong, public service skills, particularly experience working with a diverse population, and the ability to treat members with care, friendliness and compassion.
  • Excellent communications skills.
  • Ability to handle and diffuse difficult situations in the reception area.
  • Proficient with MS Office, including Word, Excel and Outlook.
  • Ability to learn internal data and workflow systems required.
  • Demonstrated ability and experience managing multiple tasks and responsibilities in a fast-paced and demanding environment.
  • Demonstrated ability handling confidential material and information in a professional manner.
  • Ability to take initiative and complete tasks independently, and to work as part of a team.
  • Spanish bilingual required.
  • Experience with, and commitment to, social justice issues not required but are a plus.

Work Environment

  • This position is a full time position that occasionally requires hours outside normal business hours, including some nights, weekends and holidays.
  • This position is based in New York City.

Physical Demands

  • This position is largely computer/office based, with many in-person and Zoom meetings, and on occasion you will get to participate in marches, rallies and other union events and demonstrations.

Compensation & Benefits

The salary range for this role starts at $50,893. 32BJ offers a generous benefits package that includes a fully employer-paid medical, dental and vision plan (for full-time employees and their qualified dependents) and retirement benefits, including a defined benefit pension plan and 401K. 32BJ offers paid time off including three weeks’ vacation, eleven holidays, twelve sick days, and, after the first year of service, four personal days.
